Position Summary:

The Maintenance Operations Director (MOD) is responsible for the overall performance of the maintenance processes within a portfolio of Communities. This position works collaboratively with Community Management to ensure that maintenance personnel within the assigned portfolio are performing duties properly, provides oversight, inspections and training, and advises Community Management on issues. This position also ensures that Company standards are being followed for all major maintenance functions, including pools, central systems, Unit Turns and supply inventories. Additionally, this position may manage capital projects and oversee large scale maintenance projects. This position is a knowledge leader for maintenance issues within a portfolio of communities.

 

Reports to: Maintenance Operations Senior Director

 

Direct Reports: None, although the position may provide direct supervision of Service Managers and Service Associates as situations dictate.

Job Duties:

 

The most significant responsibilities for the Maintenance Operations Director are:

 

Maintenance Leadership for a Portfolio of Communities

  • At the direction of Maintenance Operations, works in conjunction with the VP of Community Management and Senior Directors (the “VP Management Team”) to advise on Maintenance issues, communicate Company standards and to ensure the correct execution of maintenance services throughout the assigned portfolio of Communities (“the Portfolio”).

  • Conducts ongoing Property Standards Inspections (PSI’s) for the Portfolio and frequent visits to Communities to assess maintenance performance and to assist the VP Management Team with resolution of maintenance issues

  • Liaison to the Project Management Team to provide property-level insight for ICAC CapEx planning (5-10 year plan per property); property asset needs, project history, and end of life projections.

  • Coordinates rollout of any centralized maintenance initiatives or centralized systems within the Portfolio

  • Ensures that workloads are appropriate for Service Managers, Service Technicians, Housekeepers, Painters and Porters (collectively known as “Service Associates”) throughout the Portfolio and advises the VP Management Team on requirements for maintenance staffing, in accordance with Company standards

  • Maximizes value received for operating expense spent by leveraging central procurement resources and looks for new innovative ways to perform work that preserves value

 

Recruiting, Training, and Safety Compliance

  • Conducts interviews and provides evaluations for candidates for Service Manager candidates and Service Technician candidates as required

  • Administers testing for technical skills to candidates, as required by Human Resources and the VP Management Team

  • Recommends, coordinates and provides, as required, one-on-one training, group training, and oversight to Service Associates on maintenance procedures as well as safety procedures/processes; participates in the development of Maintenance associates

  • Verifies all work is carried out by Maintenance Associates in a safe manner with adherence to all Company standards and OSHA guidelines for safety

 

Responsibility for Community Standards

  • Partners with other ICAC functions including Reinvestment, Landscape Management and Project Management, as required, to ensure Company standards are maintained throughout the Portfolio

  • Provides ongoing status reports to the VP Management Team on observations and advises on non-compliance with Company standards

  • Communicates changes on Company standards and initiatives to the VP Team and Service Associates

Minimum Qualifications / Other Expectations:

  • Strong preference for a four year degree from a college or university in business or related discipline

  • 5 years experience in maintenance/repair services, facilities or property management

  • 5 years experience leading/managing a team of 6 or more in a service organization

  • IFMA credential CFM or FMP, or BOMI credential RPA or FMA a plus

  • EPA Universal CFC Certification preferred

  • CMMS Platform Experience preferred

  • CEM a plus

  • MS Office, intermediate level; MS Project expertise a plus

  • P&L responsibility; budget accountability

Certificates, Licenses, Etc.

  • CA Driver’s License with clean driving record
  • Valid vehicle insurance
  • EPA Universal CFC Certification preferred.
  • BS or BA degree from an accredited College or University is preferred

Language Skills

  • Ability to communicate clearly and effectively in English, both verbally and in writing.  
  • Multilingual ability is a plus.
