Position Summary:

Overall responsibility for front desk, office management, tenant sales collection, maintaining contact database, event planning/management and supporting the Specialty Retail Program.

Job Duties:

Receptionist

  • Answer and route incoming calls, take detailed messages
  • Greet internal and external customers courteously and respond to inquiries
  • Cultivate and maintain excellent relationship with tenants and key vendors
  • Sort and distribute incoming mail; facilitate correspondence, deliveries and outgoing mail via overnight or regular US Postal Service
  • Retrieve information from company roster and maintain tenant phone list
  • Ensure front office and conference room are neat and organized; maintain conference room calendar
  • Coordinate desk coverage during all business hours & secure door when office closes

Administrative

  • Manage Vice President and General Manager’s calendar- scheduling meetings, reminding the executive prior to appointments, and providing catering and AV support upon request
  • Collect, input and verify monthly and annual certified sales and run reports
  • Prepare memos, letters, correspondence and make copies of documents as requested
  • Manage traffic counting system; check accuracy and print/prepare  reports
  • Manage Non-Commercial Expressive Activity Program
  • Maintain and distribute WOW customer service story log monthly, give story counts and endorse stand out examples of customer service during weekly staff meeting
Minimum Qualifications / Other Expectations:
  • Typing 50 wpm
  • Proficient in Google Suite- Gmail, Sheets, Docs, & Slides
  • Proficient in Microsoft Word and Excel
  • Excellent verbal and written communication skills
  • Excellent organizational skills with attention to detail and timeliness
  • Excellent customer service with an “at your service” focus in tone, words and actions
  • Team player with excellent interpersonal skills, able to work well with others at all levels of the organization, including senior management

Special Experience Desired:

  • Prior reception experience desirable
  • Prior administrative experience desirable
