Position Summary:

Irvine Company Office Properties is looking for a talented Senior Manager to build, manage, and implement both internal and external processes for our newly created Flex Worksapce+ offering. S/he will partner internally with the leasing, construction, operations, design, and technology teams, and externally with customers’ executive sponsors. The senior manager will ensure a seamless customer experience from initial engagement through move-in by keenly managing the internal team, setting expectations for the customer, directing key decisions, serving as an escalation point, maintaining schedules, and, ultimately, delivering a high-quality, high-value, timely product. The successful candidate will have a combination of high-level operational experience, advanced project management skills, as well as a process and analytics-driven mindset to problem-solving and prevention.  

Working collaboratively across multiple work streams is critical in this role. S/he is a strong generalist with the ability to wear many hats and is highly organized, with an eye for details as well as an understanding of and ability to see and communicate the big picture. 

Supporting the Head of ICOP’s Flex Workspace portfolio and partnering directly with the cross-functional team to driving revenue, control costs, and increase operational efficiency, the ideal candidate is not only a master at getting things done (and maybe getting their hands dirty) but is excited by the opportunity to materially shape a new initiative and keenly serve as a prime stakeholder in a workplace product that will become the solution of choice for companies seeking private, tailored, move-in ready office space on terms that meet their business’ needs.

Job Duties:
  • Develop standards and processes that scale, playing a key role in defining the implementation of the product
  • Take ownership of the day-to-day operations surrounding Flex Workspace+ by defining and maintaining procedures both internally and externally.
  • Work collaboratively with other departments and external partners throughout the life-cycle of each deal/project
  • Be the project lead for construction, design, workplace strategy, IT, operations, and leasing while managing the team to ensure well-timed and seamless exchanges of information, decisions, and execution
  • Conduct internal and external project kick-offs, provide weekly updates on project status, ensure project milestones are hit, facilitate internal and external space walk-throughs
  • Proactively communicate risks, opportunities and delivery concerns to internal stakeholder teams and leaders;
  • Ensure customer stakeholders have a complete view of the product launch process, are aligned on criteria and expectations for move-in success, and are up to speed on progress and risks;
  • Manage the smooth transition of customer relationships post-move-in
Minimum Qualifications / Other Expectations:
  • Bachelor’s degree required. MBA preferred.
  • 5+ years of experience in operations, project management, and real estate
  • Experienced with Salesforce and Excel; working knowledge of Google Apps (Docs, Slides, Sheets, Gmail, Calendar and Drive); generally high comfort level  with technology
  • Confident and persuasive communicator, both written and verbally
  • Entrepreneurial mindset with ability to balance strategic and creative thinking with a bias for action
  • Ability to motivate and negotiate effectively with key employees, top management, and customer groups to take the desired action
  • Experience in flexible office sector a plus
  • Willingness to get uncomfortable - eager to challenge the familiar, to grow, and to attack problems where a pathway to an answer doesn’t yet exist.
