Position Summary:

The Sr. Manager of Maintenance Ops - Fire Systems is part of the Maintenance Services corporate team and is responsible for the management and maintenance of the Portfolio’s fire and life safety systems including but not limited to fire alarm systems, fire sprinkler systems, fire extinguishers, smoke detectors, and other ancillary systems.

Job Duties:

Vendor management of all fire life safety vendors and contractors

  • Set vendor reporting and response expectations and conduct Quarterly Business Reviews (QBR’s)
  • Enforce contract terms, SLAs, and pricing for inspection and repairs in accordance with unit pricing

Oversee fire monitoring and inspections program and ensure compliance

  • Ensure inspection and testing is conducted in accordance with relevant NFPA regulations
  • Utilize 'Building Reports' to track inspections, deficiencies, and timely repairs
  • Create ad-hoc and monthly reporting to track aging repairs, and/or follow-up needed
  • Build a Portfolio Dashboard that can be used 'real time' to show inspection status, repair status, etc.
  • Stay abreast of any fire or building code changes that may impact the Portfolio
  • Acts as a liaison between ICAC and local fire authority
  • Responds to any on-site fire emergency

Oversee repairs and ensure all repairs are executed timely.

  • Review, manage, and substantiate repair quotes provided by the fire life safety vendor
  • Use independent judgment in assessing 

Provide support and partnership to on-site Community Management

  • Act as a liaison on escalated matters between the Community and the Authority Having Jurisdiction 
  • Train and support on-site teams on basic fire and life safety system inspection and testing requirements
  • Ensure smoke detector inspection program is trained to, and performed to expectations

Fire Life Safety budgeting and forecasting

  • Responsible for building annual budget, including capital forecasting and ensuring accuracy
  • Report on quarterly budgeting variances

Fire system review & management

  • Provide recommendations to the Capital team on fire system upgrades based on analysis
  • Evaluate upcoming market technologies for opportunities to improve the Portfolio’s fire systems
  • Provide input on the recommended equipment, such as panel types, for newly constructed buildings
  • Research fire prevention alternatives that can enhance the fire and life safety systems

Property Damage

  • Partner with Risk Management to understand root cause of fire, and develop action plans if needed

Minimum Qualifications / Other Expectations:

Education:

  • Bachelor’s degree from an accredited College or University is preferred

 

Experience:

  • 5+ years experience in fire alarm monitoring/sprinkler systems to include clear understanding of any deficiencies noted and prioritization of response/repair
  • 3+ years in general maintenance or facilities field preferred
     

Knowledge, Skills and Abilities:

  • Expertise in National Fire Protection Associate (NFPA) codes/standards
  • Understanding of authority having jurisdiction (AHJ) 
  • Ability to communicate clearly and effectively in English, both verbally and in writing
  • Strong business and technical skills
  • Travel required at times on-site and to San Diego and Northern California apartment communities (up to 50% of time)
  • To complete inspections will include walking properties, climbing stairs, etc.
  • Limited lifting, no more than 20 pounds

 

Licenses and Certificates:

  • NFPA 25, Certified Fire Inspector, or Certified Fire Protection
  • Specialists certifications preferred, but not required
  • Valid driver’s license; valid vehicle insurance
