Position Summary:

Maintain proper reporting on daily, weekly and monthly reports used to measure productivity and analyze necessary data required by leadership. In addition, audit and monitor all pricing integrity for packages, negotiated rates and value-added inclusions while reconciling daily productivity for sales, catering and convention services personnel. Assist accruing groups, transient, cross-sale commissions for Accounting Department and process the payments on regular basis. Accurately generate and process all reports that communicated internally and to corporate offices as scheduled or requested. Assist in Marketing and Advertising functions as needed.

Job Duties:



  • Prepare all monthly sales and catering reports, including but not limited to revenue management, booking analysis, demographic, geographic, sales strategy reports, attrition reports and incentive calculation reports for individual and team production, submitting accurate reports in a timely manner.
  • Verify and audit OPERA and Delphi reports to group rooms, room revenue, room revenue, banquet and catering food, beverage, audio-visual and room rental.
  • Distribute sales manager incentive calculation reports for review, prospecting activities, group rooms control log (GRC), group pace and productions, Delphi database maintenance, F&B attrition, various ancillary department reports including but not limited to audio visual, front office, conference service, banquets and accounting as requested by Revenue Manager, Director of Sales & Marketing, General Manager, or Corporate Office.
  • Audit and process transient commission payments in OPERA weekly. Accrue and process group commission check requests to CAP bi-monthly. Furthermore, maintain lead logs for cross-sale leads between sister properties' Sales & Catering teams. Track converted booking productions and process commissions at each quarter end.
  • Exclusive property report writer for all reports including but not limited to DataVision, OPERA, MarketVision, and Crystal reports. Produce reports used in the creating of the Strategic Sales Plan and assist in the analysis of these reports to determine appropriate sales and catering goals.
  • Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required.

  • Require good communication skills, both verbal and written.
  • Must possess excellent analytical abilities and keen attention to detail.
  • Must possess computer skills and detailed knowledge of various computer programs including but not limited to Microsoft word, OPERA PMS and Sales & Catering software, Excel and other necessary programs that may be introduced to the hotel.
  • Desire to participate as part of a team.
  • Responsible for ensuring that established Delphi database policy and standards are executed for property.
  • Responsible for producing property(s) sales performance and activity reporting extracted or through reporting tools.
  • Enact Delphi database system training for property(s) database users with tools provided by Hotel Irvine or outside resources.
  • Provide project assistance in Delphi for property database upgrades, system changes or standards changes.
Minimum Qualifications / Other Expectations:
  • Education: High School or equivalent education required. Bachelor’s degree preferred.
  • Experience: 1+ year of sales system management or related analytical experience required.
