Position Summary:

The Office Services (OS) Manager oversees facilities and mailrooms while upholding Irvine Company’s high professional standards. Reporting to the Director, Office Services, this role manages our Angus work order and Nuvolo move management systems, employee relocations, contracts, vendor oversight, and other projects. Success requires high-level organization and attention to detail to thrive in a fast-paced environment with minimal oversight.

Key Responsibilities:

  • Supervise and develop the Office Services team, including the Mailroom Supervisor and Project Coordinator, to ensure high productivity and adherence to corporate quality standards.
  • Oversee critical facility platforms, including the Angus work order system (300+ monthly requests), Nuvolo move management, and HVAC control systems.
  • Manage day-to-day facility operations, including building access/security protocols, janitorial quality control, and the maintenance of standard operating procedures (SOPs).
  • Direct the end-to-end employee relocation process, coordinating between internal staff and external vendors (electrical, data, and moving) while tracking satisfaction through post-move analytics.
  • Assist the Director in managing a $3M annual budget and oversee the full lifecycle of vendor contracts, bidding processes, and change orders in collaboration with Legal.
  • Maintain the Corporate Artwork inventory and furniture assets, ensuring accurate appraisals, audits, and professional refurbishment as needed.
  • Facilitate the Corporate Renovation process to ensure appropriate approvals, transparency and cost containment for interior refresh and upgrade projects. Interface with high level executives and Property Management teams on building-related issues in Director’s absence. 

Additional Skills:

  • Proficient in basic accounting tasks
  • Expert in Gmail, Docs, and Sheets

Preferred Education:

  • Bachelor’s Degree (or equivalent experience) preferred

Preferred Years of Relevant Work Experience:

  • 5+ years in facilities, property management, or project planning
  • 3+ years managing and mentoring teams preferred

Additional Requirements:

  • Proven ability to manage teams and foster a collaborative environment.
  • Skilled at working effectively with vendors, customers, and all organizational levels.
  • Valid California driver’s license; Maintain continuous vehicle liability insurance as required by state law. (This role requires the regular and frequent operation of a vehicle, as defined in the Company’s MVR policy, and is part of the essential duties of this position.)

Compensation:

Base Pay Range: $86,900.00 - $115,900.00

 

Actual placement within this range may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.
