Position Summary:

Along with other administrative professionals, provide administrative support and lease transaction coordination for four real estate attorneys and two paralegals in support of the Office Division portfolio.

 

Job Duties:

  • Support, advise, and assist leasing team in preparing lease documentation and coordinate lease execution process with leasing team in accordance with department policies and procedures.
  • Assist attorneys and paralegals in preparing, reviewing and revising commercial leases, amendments, and related documents.
  • Assist attorneys and paralegals in preparing, reviewing, and revising contracts and related documents in connection with the Company’s operations.
  • Respond to property management teams on day-to-day questions regarding legal department policy and procedures as they relate to general operational and property management issues.
  • Assist in setting up and coordinating litigation matters (breach of contract and unlawful detainer actions).
  • Coordinate, organize and track leasing and litigation activity, correspondence, filing, and administrative activity.
  • Perform other related duties and special projects as assigned.

  • Strong computer, typing and grammar skills
  • Extremely organized, ability to prioritize work, conscientious, extremely detail oriented and high integrity
  • Ability to communicate and establish relationships with internal clients
  • Strong organizational skills and ability to manage and prioritize multiple tasks and projects in a fast-paced transactional environment
  • Self-starter and ability to work independently with minimal supervision to accomplish attorney and department projects
  • Ability to maintain confidentiality and discretion in all matters

Minimum Qualifications / Other Expectations:

  • Not less than 3 years of experience as an administrative assistant to real estate and/or corporate law attorneys (or strong aptitude and willingness to master required skills quickly)
  • Bachelor’s degree preferred
  • Computer literacy in Legal Tracker, iManage, Salesforce, Google Suite, Microsoft Word, Excel and PowerPoint will be required
  • Real estate experience preferred, whether in-house or through outside law firm
  • Team-centric mentality – works well and collaborates well with others in a team environment
  • Strong, detail-oriented writing and editing skills
  • Practical and results-oriented approach coupled with sound judgment
  • Strong communication and reporting skills
  • Ability to manage multiple projects with shifting priorities
  • Desire for continuous learning and new challenges
