Position Summary:

Is a brand ambassador for our organization who represents our quality of apartment homes and our mission of creating unparalleled living experiences where lives flourish for our customers, colleagues, and communities. Supports the leasing team in prospect tour and application logistics from the initial application process through approval. Demonstrates strong administrative performance through consistently meeting audit expectations and ongoing skill development.  Assists in marketing assigned properties and auditing online advertising platforms.

Job Duties:

  • Answer, screen, and forward incoming calls and emails by informing or referring inquiries accordingly.
  • Schedules and assigns tours to the leasing team.
  • Manage the Units Shown Tracker daily to coordinate self-guided tour logistics and communicate with the community RSO team (i.e. cleaning, key access, etc)
  • Completes application approval checklist and effectively transitions applicant to onsite RSO team for move-in processing. 
  • Tracks submitted applications for required approvals and documentation. 
  • Supports ICAC culture and encourages an empowering environment to achieve top prospect survey results and social media reviews. 
  • Handle overflow scheduled tours by phone and email in a digital consultation approach. Provide information regarding specific communities as well as services offered with the goal of generating leases for the sites.
  • Follows up on active prospects as required, including calls, emails; provides relevant information such as a quote. 
  • Utilizes the interactive pricing application pricing tool with every lease transaction and accurately records all data to support the company’s goals and initiatives. 
  • Promotes positive, proactive customer interactions to make their Irvine Company experience of the highest quality. 
  • Regular site visits to maintain product knowledge while conducting quality check on Self Guided Tour paths for directional signage, cleanliness and sanitation of and homes being toured. Includes shopping competing properties for market intel.
  • Proactively relays to management information regarding the communities’ general appearance to achieve and maintain ICAC standards.
  • Network with colleagues assigned to other ICAC communities and refer prospects when appropriate. 
  • Ability to work in a team environment. Supporting each other to exceed customer expectations and sales goals.
  • Ongoing learning and development to sharpen communication and sales skills.

Minimum Qualifications / Other Expectations:

  • High School Diploma or equivalent work experience.
  • Three to Five  years experience in customer service environment preferred.
  • Superior customer service skills and a desire to help people.
  • Direction is provided by an on-site manager in terms of tasks and objectives.  Work is reviewed upon completion on how well objectives have been met.
  • Valid driver’s license; valid vehicle insurance.
  • Ability to communicate clearly and effectively in English, both verbally and in writing.  Multilingual ability a plus.
  • Schedule may require work on weekends, holidays and evenings.
