Director, Maintenance Operations ($119,400.00 - $189,500.00)

Position Summary:
The Maintenance Operations Director is part of the Community Management team and is responsible for supporting onsite maintenance teams, and corporate departments in areas of safety, building quality, maintenance processes, training, policies, standards, team building, maintenance projects, vendor management, and reporting/analytics within a portfolio of apartment homes for the Irvine Company Apartment Communities (ICAC).
Job Duties:
People Productivity
- Provides portfolio-wide coaching and hands-on maintenance training to ensure team efficiency and workforce optimization for onsite maintenance. Includes partnership with Senior Directors of Community Management for maintenance staff turnover.
- Recommends, coordinates, and provides, as needed, one-on-one training, group training and oversight to Service Associates on maintenance procedures as well as safety procedures/processes; participates in development of Maintenance associates. Partners with the Director of Training in development, facilitating Maintenance training as needed.
- Verifies all work is carried out by Maintenance Associates in a safe manner with adherence to all Company standards and OSHA guidelines for safety.
- Assists with maintenance interviews as needed.
- Provides performance feedback, assists with development, and provides staffing recommendations as needed.
- Ensures process discipline and utilization and oversight of key maintenance systems such as the Work Order platform, Inspection System, Dashboards, Financial system, and Turn Board.
- Communicates necessary information to Community Management Operations from Maintenance Services Meetings.
Building Quality & Safety
- Partners with other ICAC functions, including Reinvestment, Landscape Management, and Project Management, as required, to ensure Company standards are maintained throughout the Portfolio.
- Liaison to the Project Management Team to provide property level insight for ICAC CapEx planning (5-10 yr plan per property); property asset needs, project history, and end-of-life projections.
- Reviews Security reports to identify maintenance, capital project, and safety trends.
- Performs asset preservation walks for Preventative Maintenance, NRO, Reinvestment, and Capital improvements.
- Ensures buildings are maintained to our brand standards, safe, and operational; ensures property inspections are completed as required, and assists with follow-ups.
- Responds to large scale emergencies to provide leadership (fire, floods, etc.)
- Identifies and reports safety issues; engages in safety incident investigations.
- Conducts night light walks according to guidelines.
Process, Policy & Standards
- Oversees and provides analytics/reporting on maintenance productivity systems
- Provides support for and implementation of maintenance systems.
- Monitors compliance with expense management processes; ensures POs are submitted timely and accurately.
- Leads and rolls out maintenance initiatives; provides feedback for maintenance standards & SOPs.
Facilities Oversight
- Provides oversight and management of Vendors that perform key maintenance services, and escalations if vendor is not meeting expectations; assists on-site with management of vendor supplies
- Maximizes value received for operating expense spent by leveraging central procurement resources and looks for new innovative ways to perform work that preserves value.
- Liaison to Procurement and Community Management, accountable to achieve Portfolio maintenance related financial goals Revenue, NOI, EBITDA, Operating Capital and KPI's which include Unit Turn Time/Cost Per Turn vs. Annual Plan/Move ins without MSR/ MSR’s completed with 48HRs.
- Partners with 3rd party janitorial service providers on quality control, staffing, etc.
Property Damage Oversight
- Attends quarterly property damage meetings
- Partners with Capital/Engineering on planning replacements based on global project needs (hot water heaters, boilers, etc.)
Minimum Qualifications / Other Expectations:
Education & Experience:
- Bachelor’s degree preferred.
- 5 years experience in maintenance/repair services, facilities or property management.
- 5 years experience leading/managing a team of 6 or more in a service organization.
Other:
- IFMA credential CFM or FMP, or BOMI credential RPA or FMA a plus.
- EPA Universal CFC Certification preferred.
- CMMS Platform Experience preferred.
- CEM is a plus.
- MS Office, intermediate level; MS Project expertise a plus.
- Frequent standing, sitting, walking, stooping, bending, climbing stairs, and lifting objects of up to 50 pounds.
- Some travel is required.
- Valid California driver’s license; Maintain continuous vehicle liability insurance as required by state law. (This role requires the regular and frequent operation of a vehicle, as defined in the Company’s MVR policy, and is part of the essential duties of this position.)
- Ability to communicate clearly and effectively in English, both verbally and in writing. Multilingual ability a plus.
- Ability to manage multiple priorities with attention to quality, speed, and detail.
Compensation:
Base Pay Range: $119,400.00 - $189,500.00
Actual placement within this range may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.
