Position Summary:

Responsible for the day to day Compliance needs of the community such as conducting interviews for Annual and Interim Recertification. Maintains compliance by ensuring deadlines are met for recertification and HAP processing. Assist with the day to day task of the Community Manager when needed.

Job Duties:

  • Incorporate strong knowledge of HUD Section 8 policies, procedures, and regulations with The Irvine Company Policy and Procedures. 
  • Complete First of the Month activities in a timely manner which includes HAP posting and processing, EIV reports, and wait list reports.
  • Submit TRACS for assigned HUD Properties in a timely fashion. 
  • Reconcile discrepancies in HAP (Housing Assistant Payment) transmissions with Accounting.
  • Schedule and meet with each resident for recertification and interim reporting. 
  • Review and process Initial, Annual and Interim recertification and provide proper notice to residents of outstanding documents required to process these recertifications.
  • Review and process Repayment Certifications and Repayment Agreements when required. 
  • Process Repayment payments in OneSite and ensure payment is received on time; ensure HUD Repayment grid is up to date with all Repayment activities and actions taken.  
  • Prepare written communications and/or verbally interact with our residents, applicants, and Site Teams involving:     
  • 1. Compliance Questions 2. Approvals and denials 3. Additional information needed 4. Upcoming recertification 
  • Process approved Gross Rent change in OneSite and notifies residents of UA/ Rent changes. 
  • Process and properly upload/file Annual Periodic Assessments for waitlist applicants. 
  • Ensure files are maintained in proper fashion; ensure all documents are filed in the residents master file within 1 (one) business week after all signatures have been received. 
  • Ensure additional resident communications are filed in the residents master file within 1 (one) business week of notification.
  • Assist in the preparation of Management Occupancy Review(s) .
  • Maintain a waitlist in accordance with the Resident Selection Plan (RSP) and SOP.
  • Prepare lease documents and related paperwork.
     

Minimum Qualifications / Other Expectations:

Education & Experience: 

  • High school or equivalent.
  • 3-5 years of file processing skills.
  • Minimum two years of Affordable Housing experience.
  • Required compliance designation: Certified Occupancy Specialist (COS), scoring at 80% or above.

Other: 

  • Certified Occupancy Specialist (COS), scoring at 80% or above or Certified Voucher Specialist (CVS).  The CVS applies to Specialists that directly oversee Section 8 voucher program. 
  • Valid driver’s license; valid vehicle insurance.
  • This role requires the regular and frequent operation of a vehicle, as defined in the Company's MVR policy, and is part of the essential duties of this position.
  • Ability to communicate clearly and effectively in English, both verbally and in writing. Multilingual ability a plus.
  • Frequent standing, sitting, walking, stooping, bending, climbing stairs, and lifting objects of up to 20 pounds.
  • Knowledge in Google Suite, Microsoft Word, Excel, Salesforce, and OneSite.
  • Ability to organize, establish priorities, and manage multiple priorities with attention to speed, detail, and quality.
  • Occasional travel required.
  • Ability to work evenings, weekends, and holidays.
  • Regular, consistent, and timely attendance is required (non-exempt).

Compensation:

Base Pay Range: $27.74 - $37.21

 

Actual placement within this range may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.
