Position Summary:
  • The Disbursement Program Administrator is responsible for performing routine administrative tasks for the disbursement and corporate commercial card program including but not limited to, T&E, Pcard, and accounts payable (AP) functions.
  • Disbursement Program Administrator’s responsibilities will include supporting and processing of initial Pcard applications, troubleshooting individual card matters including training, lost, stolen and fraud matters, processing employee card terminations, and auditing receipt transactions. This position is also responsible for processing specific AP disbursement functions for all AP payment methods (checks, ACH and virtual credit card).
  • The Disbursement Program Administrator must exercise a high degree of discretion and integrity in dealing with financial records and information. This role must be highly organized and focused with strong attention to detail.
Job Duties:
  • Process daily payment run, including in-house check distribution and other payment run functions (verifying payment run payments)
  • Train/support Pcardholders in the proper use of the purchasing card and communicate Company’s Pcard policy
  • Process all Pcard applications and activity (new card ordering, adjustments, card terminations, limits & restrictions) in accordance with the Pcard policy
  • Assign Pcards within Concur to the appropriate employee for reconcilement
  • Assist in the enforcement and development of corporate purchasing card policies
  • Assist in periodic card issuance and annual Pcard replacement to existing Pcardholders
  • Review and audit Pcard activities (receipts, approval, & reminders)
  • Review, research, and apply outstanding credit memos
  • Perform payment void/reissue functions such as voids, unclaimed checks, stale, etc.
  • Contact suppliers for unclaimed payments on a monthly basis (for both credit card and check payments)
  • Sort and process returned checks and input information in a log for operations to review
  • Maintain a productive work environment with an emphasis on teamwork and superior customer service reinforcing positive behaviors.
  • Participate in special projects, as requested
  • Perform additional duties as required
Minimum Qualifications / Other Expectations:
  • 1-2 years of travel, expense, Pcard or accounts payable experience
  • Ability to communicate effective across departments and with management
  • A B.A. or B.S. degree in finance, accounting, economics or related area
  • SAP, Microsoft Office Suite (emphasis in Excel), Concur and Google Apps experience a plus.
