Position Summary:

This is a great opportunity for a person with an outgoing personality with strong analytical skills.  In this role you be working closely with our Leasing Department to help track inventory (square footage leased and available) across all portfolios and regions.  Will be involved in the day-to-day management of the leasing process, while maintaining a high level of accuracy of our data.  Must be comfortable with and enjoy working in a support role with our Commercial Leasing team.

Job Duties:

  • Work closely with the Office Leasing team utilizing reporting guidelines and Salesforce/Pivotal data to produce monthly Forecasts and Month End reports for review and final close. Review MRI financial expirations and vacant reports making needed adjustments for accurate reporting. Working closely with the leasing team to save all final lease documents, distribute if needed for lease abstraction in MRI. Participate in fiscal year end close.
  • Work closely as a team with the Sr. Manager, Lease Process Administration with day-to-day management of the lease process and support of Office teams, systems and training. Ensuring data integrity and accuracy in Salesforce/Pivotal reviewing lease activities and deal sheets, daily accounting and Inventory management including dead space and rentable SF updates, adding new development and acquisition properties, data management of our FLEX inventory, vacancy, downtime, and lease maintenance for accurate reporting. Participate in reporting and process improvement initiatives including software implementation, Irvine Company, BI and CRM tactical/project improvements and user acceptance testing.
  • Daily postings of all marketed suites including suite status, asking rates, suite description updates, marketed floor plan changes, upload final composite/ flyer postings, communicate updates to team/departments. Coordinate with SSI for weekly lease activity updates. Accurate filing for future reference of Web composites, SSI reports and calculations. Work closely with Sr. CAD Leasing Facilitator for all marketed floor plan updates utilizing Adobe Illustrator, and SSI CAD vault access.
  • Provide back-up when needed.
  • Provide project analysis, ad hoc reporting and data clean-up.
  • Provide support and direction to Leasing and Operations teams including account and broker contact maintenance, oversight and maintenance of Salesforce/Pivotal, monitor lease process, monthly Call to Show web updates and other projects as assigned/identified.
  • Assist in development and maintenance of Leasing team standard operating procedures. Improve performance by evaluating processes to drive efficiencies. Share best practices and provide and support team training.
  • As the Stevenson Systems (SSI) measurement advocate responsibilities include project management and oversight of the building measurement and re-measurement process from start to finish for all Markets. Works directly, as a single point of contact and subject matter expert, with Leasing, Development, Operations, Construction, outside Architects and SSI. Ensures final reports are accurate, meet ICOP standards and are reviewed and approved. Review existing building measurements and suite calculations; provide recommendations surface potential measurement opportunities/ issues. Continued training and education understanding current BOMA standards and ICOP measurement best practices. Manages and maintains all resources related to SSI.

Minimum Qualifications / Other Expectations:

  • Bachelor degree in business, finance, real estate or other business-related field, strongly preferred.
  • 1 - 5+ years of work experience, preferably in a finance/accounting focused role.
  • Strong analytical and data management skills,
  • Self-motivated and highly driven; able to think creatively and work independently.
  • Highest standards of accuracy and precision; highly organized.
  • Articulate with good verbal and written communication skills.
  • Demonstrated ability to roll-up sleeves and work with team members in a hands-on capacity.
  • Willing to embrace rapid change and ambiguity, comfortable in a collaborative fast paced culture.
  • Intermediate Microsoft Excel and Word skills; Adobe Illustrator, Google Applications, SharePoint, CRM, BI and SAP; Auto CAD experience a plus
